Privacy Policy

This policy explains how GYAMDIAS LTD collects, uses and protects personal information through InSyncKids.

1. Who we are

InSyncKids is a trading name of GYAMDIAS LTD. GYAMDIAS LTD is the data controller for personal information processed through the InSyncKids website, accounts, Buddy finder pages and customer support services. Our registered office is Unit 12, Slough Interchange Industrial Estate, Whittenham Close, Slough SL2 5EP, United Kingdom.

2. Who this policy applies to

This policy applies to adult account holders, parents, carers, gift purchasers, website visitors, people who contact us, and finders who open an InSyncKids Buddy page. It also explains how information about a child is handled when an authorised adult adds that information to an account.

3. Information we collect from adults

We may collect a name, email address, telephone number, postal and delivery address, account credentials, contact preferences, order details, payment references, support messages and records of actions taken within the account.

4. Information about children

An authorised adult may add a child profile containing a first name or chosen display name, profile image, Buddy assignment, emergency contacts, medical information, disability information, communication needs and other notes selected for the finder page. Adults should provide only information that is necessary for the intended contact purpose.

5. Finder interactions and technical data

When a Buddy page is opened, we may record the Buddy identifier, date and time, browser or device information, internet address, security logs and actions taken on the finder page. The current service does not provide live location tracking.

6. How we use personal information

We use personal information to provide and secure accounts, fulfil orders, activate Buddies, display the authorised finder page, send scan alerts, allow approved contact, respond to support requests, prevent fraud and misuse, maintain records and comply with legal obligations.

7. Our legal bases

We rely on the legal basis that is appropriate to the activity. This can include performance of a contract, compliance with a legal obligation, our legitimate interests in operating and securing the service, and consent where consent is required.

Where an authorised adult chooses to add health, disability or other special category information, we will process it only for the selected account purpose and where an appropriate legal condition applies. We may ask for explicit consent where required.

8. Children and privacy by design

InSyncKids is designed for adult controlled accounts. Finder pages should use the least amount of child information needed for contact. Adults should avoid adding a full home address, detailed school routine, unnecessary identity documents or other information that could create additional risk.

9. Sharing personal information

We may share information with providers that support hosting, secure communications, email, payments, delivery, fraud prevention, customer support and professional advice. These providers may use information only for the agreed service or as required by law.

Information selected for the finder page is disclosed to a finder only when the relevant Buddy page is opened. The approved adult controls the contact choices and profile information made visible.

10. International transfers

Some service providers may process information outside the United Kingdom. Where this happens, we use an approved transfer mechanism or another lawful safeguard required by UK data protection law.

11. How long we keep information

We keep information only for as long as it is needed for the purpose collected, to provide the account, to handle an incident, or to meet legal, tax, fraud prevention and security requirements.

  • Active account and child profile information is normally kept while the account remains active.
  • Order, invoice and payment records may be kept for up to six years after the relevant financial year.
  • Support records are normally kept for up to two years after the enquiry is closed.
  • Security and finder interaction logs are normally kept for up to twelve months unless needed for an incident, legal claim or safeguarding concern.

12. Security

We use access controls, account authentication, encrypted connections, limited staff access, backups and monitoring appropriate to the service. No online service can guarantee absolute security. Account holders must use a strong password and must not share account access with an unauthorised person.

13. Marketing

We may send service messages needed for an order or account. Marketing messages are sent only where permitted by law. You can unsubscribe from marketing at any time without affecting essential account or order communications.

14. Your data protection rights

Depending on the circumstances, you may have the right to ask for access, correction, deletion, restriction, portability or objection. Where processing relies on consent, consent can be withdrawn. A child may have their own rights as they develop sufficient understanding, and a person with parental responsibility may also be able to act on the child’s behalf.

15. Complaints

Please contact us first so we can try to resolve the concern. You also have the right to complain to the Information Commissioner’s Office, the United Kingdom data protection regulator.

16. Changes to this policy

We may update this policy when the InSyncKids service, our providers or the law changes. The latest version will be published here with the updated date.
